June 1, 2009 Ellettsville Parks and Recreation Board meeting Minutes

The Ellettsville Parks and Recreation Board met on Monday, June 1, 2009 at the Fire Department Training and Conference Center. Jimmie Durnil called the meeting to order at 5:30 p.m. with the Pledge of Allegiance. Members present were Jimmie Durnil, President; Richard Pease, Vice-President; Amber Ragle, Secretary and Michael Griffey. Geraldine McIntyre was absent. Geraldine has out of state family business to tend to and will miss the next few meetings.

Approve Minutes of May 4, 2009

Michael Griffey made a motion to approve the May 4, 2009 minutes. Richard Pease seconded. Motion carried.

Review Accounts Payable Expenditures

Amber Ragle explained payroll transactions and electricity were the only things paid in the month of May. The budget process will be starting at the end of June and she asked if there were any changes needed to be made for the 2010 budget. Michael Griffey asked how long the pay for Parks Board members has been the current amount. Amber did not know, but suggested this was not the year to ask about increasing it due to budget constraints. The Parks Board members are paid an annual stipend, not per meeting attended.

Old Business

Amber Ragle reviewed the minutes from the last meeting since she was absent and asked if a deposit needs to be collected from the Ellettsville First Assembly Men of Purpose Ministry for the use of the Shelter House. There was a unanimous yes. Amber will contact them and collect. The rental fee will be paid if the rain date is used.

New Business

Amber Ragle was contacted by Brad Taylor of the Ellettsville Christian Church. They are planning 2 events this summer. The dates they would like to rent the shelter houses are July 8^th and August 23^rd. They would like to rent the large shelter house on July 8^th and for August 23^rd; they would like to rent the large shelter house and the bigger one at Campbell’s Park. Amber explained since starting the rental process for the shelter houses, Ellettsville Christian Church has rented it numerous times per year and have always left them in good shape after their events and she thought that it would be a nice gesture if the Parks Board could give them some kind of deal since they are repeat renters and the fees have been waived for some other entities in the past. Amber also informed the board that their events are open to anyone in the community who would like to attend. Michael Griffey made a motion to waive the $50 fee on the Campbell’s Park Shelter House for the August 23^rd event. Amber Ragle seconded. Motion carried.
