May 4, 2009 Ellettsville Parks and Recreation Board meeting Minutes

The Ellettsville Parks and Recreation Board met on Monday, May 4, 2009 at the Fire Department Training and Conference Center. Jimmie Durnil called the meeting to order at 5:30 pm and led the Pledge of Allegiance. Members present were Jimmie Durnil, President; Richard Pease, Vice-President and Michael Griffey. Amber Ragle and Geraldine McIntyre were absent.

Approve Minutes of April 6, 2009

Michael Griffey made a motion to approve the April 6, 2009 minutes. Richard Pease seconded. Motion carried 3-0.

Review Accounts Payable Expenditures

Accounts Payable Expenditures were not available for the meeting. $33 was received from Coke machine proceeds.

Public Comment

Wes Gastineau representing Ellettsville First Assembly Men of Purpose Men’s Ministry, has hosted a car show for the last six years. He is asking for the Board’s approval to host the 7^th Annual Car Show at the Marci Jane Lewis Park and request the road to be closed for foot traffic safety. They also have a kiddie train that goes around the car show. They typically have 30 – 40 vehicles, as many as a hundred people, inflatables, live music and concessions. The date of the car show is Saturday, July 11 from 4 p.m. until 9 p.m. They are requesting to Park Street to Turtleback Creek Drive be closed. Jimmie Durnil informed Mr. Gastineau the street closing request needs to go before the Town Council. Any proceeds would go to the Men’s Ministry who supports widows and orphans in their time of need. This event is free and open to the public. Michael Griffey suggested the Town Council be involved and recommended Mr. Gastineau attend a Council meeting.

Michael Griffey made a motion to waive the rental fees. Richard Pease seconded.

Jimmie Durnil asked that the restrooms are “squared away” after they are finished. Mr. Gastineau requested a rain date of July 18 or 25. Jimmie Durnil suggested he speak with Amber Ragle.

Michael Griffey stated the fee is being waived for the car show but in the event of rain, would the church be willing to pay the rental fee for the rain date? Mr. Gastineau totally understood and agreed to pay the fee ($100 rental and $100 security deposit) for a rain date. Jimmie Durnil suggested Mr. Gastineau speak with Amber Ragle.

Sandra Hash received a telephone call from Alisa Smith regarding “Opening Day” at the ballparks, last weekend, and the restrooms were not open. Sandra Hash spoke with Jim Ragle who informed her “customarily” they do not open the restrooms for the ballpark day and wait until the end of May. Sandra stated that May is the busiest shelter rental month, she has rentals this coming weekend and if the restrooms are not going to be opened, should she refund their money. Sandra is asking the Parks Board to set a policy on the opening and closing the restrooms. Michael Griffey stated there is no reason the restrooms can not be ready. Jimmie Durnil asked Michael to check with Jim Ragle and see if the restrooms can be opened for this weekend.

The Board will discuss this at the next meeting.
